What this negotiation guide helps you prepare

Procurement pressure is rarely solved by arguing that your price is fair. The useful question is what the buyer is measured on and which commercial variables can produce a defensible outcome for both sides.

What a strong conversation looks like

A strong procurement negotiation creates a measurable win for the buyer without giving away value that was never required.

Prepare for a procurement negotiation: seller and buyer perspectives

Procurement teams may be measured on cost, risk, service quality, continuity and compliance at the same time. A supplier negotiating with procurement should not assume a price request tells the whole story; a buyer should not assume the lowest quoted price is the lowest-risk outcome.

Six questions to bring to the meeting

  1. Decision criteria: besides headline price, which performance, quality, service and compliance requirements are mandatory?
  2. Approval path: who validates the savings claim and who approves commercial exceptions?
  3. Current alternatives: what is genuinely comparable in scope, implementation effort and risk?
  4. Tradeable variables: can payment terms, order volume, service levels, contract length or delivery dates change without hurting the outcome?
  5. Concession record: for each proposed change, what does each side give and receive?
  6. Next decision: what remains open, who owns it and when will the decision be made?

Example of a conditional trade

A buyer requests a lower unit price while keeping the same service level. Instead of treating price as the only lever, a supplier could ask whether a longer commitment or a different delivery schedule is acceptable. A buyer should compare the full package and document the agreed conditions. This is a discussion example, not a contracting system: Human Dynamics does not currently track supplier concessions or approve real purchasing decisions.
